VBS has had a many-year relationship with this unique academic coaching firm. This firm has many sub-contractors and a unique invoicing model. VBS provided our services to design improved efficiencies to existing accounting processes, to clean up the financial reporting, and develop controls to ensure accuracy. The project work resulted in this company’s ability to view both accrual and cash-basis financials, as well as to understand their outstanding coaching liabilities by customer. In parallel, VBS took over all aspects of ongoing financials, including controller services, month-end close, invoicing/AR/collections, AP, payroll. We were able to provide value-add with improved efficiencies, with changes that didn’t impact the many subcontractors and customers.

In this long-term relationship with this large and successful international professional services firm, VBS provided systems integration (time tracking, expense management), QuickBooks payroll setup, process design and training services. Our focus was to cleanup historical financials, streamline the current system and improve the processes. The project work resulted in this company’s ability to view clean financial statements with accurate job-profitability reporting. We also provide ongoing monthly outsourced accounting services, financial review and close support, and interface regularly and effectively with their CPA and management team.

Finding and working with VBS has been a true blessing!! A previous conversion from QuickBooks to another financial software had been an extremely expensive and complicated endeavor that ended up not working as sold. I joined my current company as CFO not long after their decision to convert back to QuickBooks. The conversion back was not as smooth as it could have been. It left the QuickBooks files a real mess and, my first task was a cleanup and overhaul. We’re relatively minimally staffed but, handling diverse clients around the globe. One position can wear many hats. Our workforce is spread across the US and financial tasks for both our company and clients can be complicated. Due to my financial and other responsibilities, the cleanup was turning out to be more than I could handle on my own. It was late 2013 and a quick Google search for QuickBooks Pro Advisors in my area brought me to VBS. I called and spoke to VBS’ owner, Susie Schade. Susie’s a straight talker, wickedly intelligent and didn’t try overselling services, we hit it off right away. She immediately suggested allowing her team to check out our QuickBooks files to see what really needed to be taken care of. Susie assigned a VBS team and they jumped right in. It wasn’t long before everything was in working order and most importantly, improved the original set up and suggested a few other changes. This company performs a light-assembly process for high-cost products, and also use outsourced satellite manufacturing services. They would benefit from QuickBooks advanced inventory features to track these valuable items by serial number to many locations. They also wanted to accumulate components and labor into the end-product costing, so we identified them as a good candidate for using the assembly build features of QuickBooks. VBS assessed their business process flow and external systems/forms, and designed a solution that exploited more of QuickBooks inherent features. We setup the system, imported a new and refined item list structure, trained the users, imported their physical inventory by serial number, and supported the team as they became accustomed to the new features and capabilities.

This large food distribution company has multiple warehouses in the US and Mexico, and yes, they use QuickBooks Enterprise (with Advanced Inventory) to manage many of their business entities. In order to make sure they get them most out of QuickBooks, they partnered with VBS early and used our services often for many projects, setup, research, training and integrations. VBS also helped them assess and ensure the QuickBooks database file integrity, on an ongoing basis, for up to 15 companies.

VBS was a key player in scaling our business within QuickBooks. Our business was growing at a fast rate, and we were manually keying sales from another platform into QuickBooks on a daily basis. The team was able to assist in selecting an upload tool and developing a template for us to utilize, then training our accounting team how to work within the tool. This process eliminated approximately 4-5 hours of staff accounting work on a daily basis, while simultaneously improving accuracy.

As the business grew to the point of needing a new GL platform, VBS was able to assist again in taking on some staff accounting work, while the accounting department focused on our system implementation. They were able to own the sales uploads and inventory lot-control data entry processes. Similarly, they were also able to prep upload files from QuickBooks for our new GL system.
